Board position descriptions

AYSO REGION 65 * SUMMARY OF BOARD MEMBER JOB DESCRIPTIONS * JUNE 2022

 

ADULT LEAGUE ADMINISTRATOR AND REFEREE COORDINATOR

·         Coordinate all phases of program

·         Coordinate referee coverage for all games

 

ASSISTANT REGIONAL COMMISSIONER – ADMINISTRATION

·         Serve as master communications contact for the Region covering website, mail and telephone

·         Provide needed Region wide communications to families

·         Assist Region staff with technical system assistance as needed

 

ASSISTANT REGIONAL COMMISSIONER – UPPER DIVISIONS (12U-19U)

·         Represent Division teams and families in planning meetings

·         Provide appropriate communication and guidance to Division teams

·         Assist Region Commissioner and other Region staff as needed

 

ASSISTANT REGIONAL COMMISSIONER – LOWER DIVISIONS (06U-10U)

·         Represent Division teams and families in planning meetings

·         Provide appropriate communication and guidance to Division teams

·         Assist Region Commissioner and other Region staff as needed

 

AUDITOR

·         Serve as a non voting member of the Region Board per National position restriction

·         Routinely monitor financial reports for compliance with adopted budget

·         Annually prepare Audit report using National Organization format

 

CHILD AND VOLUNTEER PROTECTION ADVOCATE AND ASSISTANT

·         Establish current season certification requirement and notify coach candidates

·         Establish appropriate deadlines for coach certification compliance

·         Continuously track coach certifications and notify of ineligibility for non compliance

 

COACH ADMINISTRATOR AND ASSISTANT

·         Develop training needs for each season; schedule appropriate courses

·         Coordinate coach recruitment efforts for all Divisions

·         Develop master list of coach volunteers and submit for Board approval

 

COACH TRAINER

·         Serve as staff for all Region scheduled coach courses

 

DIVISION COORDINATOR

·         Be the primary contact for coaches and families in the Division

·         Communicate frequently with coaches and families to provide important information

·         Collect player rating forms at end of season

 

DIVISION SUPPORT

·         Coordinate opening, monitoring and closing of assigned fields using a team of volunteers

·         Contact coaches of first and last games to remind of field set-up requirements

·         Assist Division Coordinator as needed, learning and assuming duties as needed


 

EXTRA PROGRAM COORDINATOR

·         Represent all teams at Section and Circuit planning meetings

·         Coordinate program with Region staff following Region Guidelines and all other requirements

·         Monitor teams for demonstration of positive representation; maintain list of infractions

 

EXTRA PROGRAM REFEREE COORDINATOR

·         Establish master list of eligible properly certified referees

·         Coordinate with Region Referee Administrator to minimize impact to Core program

 

FIELDS & EQUIPMENT COORDINATOR AND ASSISTANT

·         Coordinate needed field maintenance, repair and mowing as needed

·         Coordinate initial field layout marking each Season

·         Evaluate condition of all field equipment at end of each Season and arrange for needed replacements; maintain loaned equipment list

 

FIELD LIGHTS MONITOR

·         Establish remote access account for turning lights on and off

·         Establish schedule based on practice field time allocations; update with daylight time change

·         Be available for contact on light usage nights in the event of issue with lights

 

GAME SCHEDULER

·         Establish best usage of available field availability

·         Develop list of potential conflicts and schedule to separate

·         Balance home assignments and attempt to balance first and last games in all Divisions

 

GRAPE STOMP DIRECTOR AND ASSISTANT

·         Develop master plan including volunteer support needed

·         Coordinate all phases of event including publicity, registration, purchasing of supplies

·         Monitor support from Select and EXTRA teams to determine financial support

 

PLAYER DEVELOPMENT COORDINATOR AND ASSISTANT

·         Establish calendar of training to be offered and staff needed

·         Coordinate with Region staff regarding field and equipment needs

·         Promote sessions to all appropriately aged registered players

 

PRACTICE FIELDS COORDINATOR AND ASSISTANT

·         Develop master layout of needed practice slots based on city allocation.

·         Establish on line Practice Scheduler and advise coaches of usage

·         Assist late coach recruits in obtaining available slot

 

PUBLICITY AND SOCIAL MEDIA COORDINATOR

·         Establish appropriate social media account(s), monitor contacts and respond as appropriate

·         Provide postings highlighting Region activities and achievements

·         Create event notifications as needed

 

REFEREE ADMINISTRATOR AND ASSISTANT

·         Develop Master Plan for training needs for all Divisions

·         Develop on line Referee Game Scheduler; determine “points” requirement for each Division

·         Maintain record of individual referee credits

REFEREE INSTRUCTOR COORDINATOR

·         Maintain list of certified instructors; schedule as appropriate for Region courses

·         Identify and encourage potential instructors

 

REFEREE MENTOR PROGRAM COORDINATOR

·         Recruit experienced referees available to serve as mentors to new referees or those seeking upgrade.

 

REFEREE ASSESSOR

·         Schedule required observations or assessments for referees seeking to upgrade.

 

REGISTRAR AND ASSISTANT

·         Determine appropriate deadlines for all phases of registration and team development.

·         Use AYSO system to create balanced teams using previous season player ratings received and inputted

·         Adjust system rosters to match player “request”, matching age/rating of exchanges as possible

 

SAFETY DIRCTOR

·         Coordinator with Field Equipment Coordinator to confirm safety of all equipment

·         Provide information for all Region staff regarding Incident Report Forms

·         Process all Incident Report Forms as required by National insurance vendor

 

SECRETARY

·         Attend Region Board Meetings and prepare minutes of action items and important discussions

·         Serve as Parliamentarian as needed

·         Assist RC as requested with correspondence

 

SELECT PROGRAM COORDINATOR AND ASSISTANT

·         Develop calendar and procedures for all phases of the program; coordinate all activities

·         Coordinate Region staff and coaches regarding uniforms and field needs

·         Monitor teams for demonstration of positive representation; maintain list of infractions

 

SELECT PROGRAM TREASURER

·         Maintain all records of financial transactions for all teams

·         Provide regular financial reports to each team

·         Assist Region treasurer as needed

 

SELECT PROGRAM REFEREE COORDINATOR

·         Establish master list of eligible properly certified referees

·         Coordinate with Region Referee Administrator to minimize impact to Core program

 

SPARKS (5U) MASTER COACH AND PROGRAM ASSISTANT

·         Develop master plan for program including volunteer support needed; coordinate all phases

·         Coordinate with Region staff regarding uniforms, field and equipment needs

·         Monitor participation and adjust as possible

 

SPONSOR COORDINATOR

·         Develop plan for recruitment of sponsors

·         Coordinate vendor possibilities at fields and events

 


 

TEAM ACTIVITIES AND ASSISTANT

·         Evaluate Fall season picture vendors and recommend selection; coordinate all phases of event

·         Develop plan for Team Parent Meeting to provide valuable information for Season

·         Coordination plans for Region awards; evaluate vendors and recommend selection

 

TREASURER

·         Monitor and verify all financial transactions

·         Provide current financial report for monthly Board Meetings; assist Auditor in annual audit

·         Participate in annual budget development

 

UNIFORM COORDINATOR AND ASSISTANT

·         Evaluate vendor options and recommend uniform selection and other equipment options

·         Determine Core program needs and establish needed delivery date

·         Coordinator with Select and EXTRA Coordinators regarding needed uniforms and other equipment

 

VIP COORDINATOR AND ASSISTANTS

·         Develop program master plan and coordinator all phases

 

VOLUNTEER RECRUITMENT AND RETENTION COORDINATOR

·         Develop master plan to assist Region in encouraging all levels of volunteers

·         Assist team coaches in recruiting team support volunteers

·         Create Region survey to receive family input regarding status of Region program

 

WEB MASTER

·         Annually evaluate all information on website; delete or update as needed

·         Routinely update site with pertinent information regarding Region and other AYSO information
